This article lists every Email Outreach task you can ask the AI assistant to do, with an example request for each, and the tasks you still do in the app. In Claude and ChatGPT, available on: annual plans. Not included in the 7-day free trial.
The AI assistant is JournoFinder in Claude, ChatGPT or the in-app AI Agent. Claude and ChatGPT use JournoFinder through MCP, the connection that lets Claude or ChatGPT use JournoFinder. The AI Agent has the same Email Outreach tools. If Claude or ChatGPT does not have them, see Outreach tools are missing in Claude or ChatGPT.
A campaign is an email and its follow-ups sent to a set of people. A recipient is a person in a campaign. A follow-up is a later email in a campaign that sends if the person has not replied. A mailbox is an email account you connect to JournoFinder.
Write your request in your own words. The example requests show one way to ask.
Find and check campaigns
The AI assistant can do these campaign tasks.
Task | Example request | Limits |
List your campaigns | "Show my campaigns." | Your 10 newest by default, up to 25. Only campaigns you created. Teammates' campaigns are not listed. |
Show one campaign in full | "Is my Spring launch draft ready to send?" | For a draft, it lists what still stops the launch. For a launched campaign, it shows emails sent, who replied and when the next email goes out. |
Create a draft campaign | "Start a new campaign called Spring launch." | Name up to 200 characters. If the AI assistant suggests a name, it asks you first. |
Rename a campaign | "Rename that campaign to Q3 fintech pitch." | Works in any status. Recipients never see the name. |
For a launched campaign, the AI assistant shows who replied, the reply type and the date. It does not show the text of the reply. Read replies in the Unibox (your shared inbox in JournoFinder).
Add, check and remove recipients
The AI assistant can do these recipient tasks.
Task | Example request | Limits |
Add people to a campaign | "Add my UK fintech media list to the campaign." | One source per request: media lists, one contact tag, or named contacts. Up to 500 recipients in a campaign. People already in the campaign are skipped. People marked do not contact are skipped. |
List a campaign's recipients | "Who is on this campaign?" or "Is anyone from the BBC on it?" | 50 people per page. 25 per page when you search for a name, outlet or email. |
Choose an email address | "Use Jane's work email." | For people with more than one address. The address must be one JournoFinder already has for that person. Up to 100 people per request. |
Set a time zone | "Set Tom's time zone to New York." | Up to 100 people per request. The AI assistant asks you before it guesses a time zone. |
Remove named people | "Take Jane off the campaign." | Up to 100 people per request. On a launched campaign, their unsent emails are cancelled. |
Remove people by past outreach | "Skip anyone we emailed in the last 30 days." | Draft campaigns only. The AI assistant first lists who would go and why. It removes them only after you say yes. |
Put removed people back | "Put Jane back on the campaign." | Works for people removed from this campaign. |
Warning: Adding people to a launched campaign sends them real email. Adding people to a finished campaign starts it again for the new people. The AI assistant asks you first.
Write and change the emails
The AI assistant can do these email tasks on a draft campaign.
Task | Example request | Limits |
Write the first email | "Write the first email pitching our survey." | Needs a subject. After each change, it shows you the saved subject and full email word for word. |
Add or change a follow-up | "Add a follow-up 3 days later." | Up to 4 follow-ups, so 5 emails in total. Each follow-up sends 1 to 7 days after the one before. Write them in order. |
Delete a follow-up | "Drop the last follow-up." | Only the last follow-up. The first email cannot be deleted. |
Show one person's emails | "Show me what Jane at the Times will get." | Shows their first name filled in. |
Give one person their own version | "For Jane, mention her piece on heatwaves in the first line." | A later change to the shared email does not change their version. |
Put one person back on the shared email | "Undo Jane's custom email." | For one email or all of them. |
Emails can use two merge fields only. A merge field is a label that JournoFinder replaces with each person's details when it sends. The two are the recipient's first name and the mailbox signature. Emails can have bold, italics, lists, headings and “https://” links. They cannot have colours or images. Each email can be up to 250 KB.
If you changed the email in the app, the AI assistant does not save over it. It shows you both versions and asks which to keep.
Test, launch and control sending
The AI assistant can do these sending tasks.
Task | Example request | Limits |
Send yourself a test | "Send me a test." | Sends the first email only, to your own address. The subject starts with “[Test]”. It cannot send a test to anyone else. |
Check a campaign before launch | "Get it ready to send from my Gmail, weekdays 9 to 5." | Sends nothing. Shows a summary with any problems and warnings. |
Launch or schedule a campaign | "Yes, launch it." or "Schedule it for Monday 9 am." | Only after you say yes to the summary. The summary is valid for 30 minutes. |
Cancel a scheduled start | "Don't send it Monday after all." | The campaign becomes a draft again. Recipients and emails are kept. |
Pause a campaign | "Pause the Spring launch campaign." | Emails still to send wait until you resume. |
Resume a campaign | "Resume my campaign." | Emails send inside the sending window. The sending window is the days and hours campaign emails are allowed to send. |
The launch summary lists the recipients, sending hours, open and click tracking, send order, start time and your monthly email count. Unless you ask for something else, the AI assistant uses weekdays, 9 am to 5 pm, in each recipient's time zone. Open and click tracking stay off unless you ask for them. If anything changes after the summary, the AI assistant checks again and shows you a new summary.
Warning: Launching sends real email to journalists. Read the summary before you say yes. A reply such as "I guess" does not count as yes.
Mailboxes and contacts
The AI assistant can do these mailbox and contact tasks. A contact is a person you added yourself, by hand or from a CSV file.
Task | Example request | Limits |
List the mailboxes you can send from | "Which mailboxes can I send from?" | Includes mailboxes a teammate shares with you. |
Change your sender name | "Change my sender name to Jane at Acme." | Up to 100 characters. Your own mailboxes only. |
Change your signature | "Add my signature: Jane Smith, Head of PR." | The AI assistant shows you the signature and waits for your yes. |
Change the time between emails | "Wait at least 2 minutes between emails from my Gmail." | 30 to 3,600 seconds, or back to the default. |
Find a contact | "Do I have anyone at Bloomberg?" | Searches your contacts and your team's. 10 per page. |
Add a contact | "Add Jane Smith, jane@times.co.uk, The Times, tag her VIP." | Needs a first or last name. If the email already belongs to a contact, it asks before it adds a copy. |
Change a contact | "Jane moved to the Guardian." | Name, outlet, job title, email addresses and tags. |
Delete a contact | "Delete Tom Brown from my contacts." | Cannot be undone. Campaigns the person is already in keep them. |
List your contact tags | "What tags do I have?" | Your 50 most used tags. |
