Set your sender name, signature and sending speed

Set the name journalists see, add an email signature, and choose how many campaign emails your mailbox sends each day.

Set the name journalists see on your outreach emails, your email signature, and how fast your mailbox sends campaign emails. Who can do this: the person who connected the mailbox.

A mailbox is an email account you connect to JournoFinder. Each mailbox has its own settings.

Open your mailbox settings

  1. In the sidebar, under Outreach, click Campaigns.

  2. Go to the Email Accounts tab.

  3. Click the mailbox you want to change. Its settings page opens.

When you change a setting, a bar at the bottom shows “Unsaved changes”. Click Save changes. The bar shows “All changes saved”.

Set your sender name

Your sender name is the name journalists see in the From line of every email from this mailbox. It can be up to 100 characters.

  1. On the mailbox settings page, enter your name in Sender name.

  2. Click Save changes.

If the sender name is empty, it is marked “Required” and the page shows “This account can't send until you add a sender name.”

Warning: A campaign can still launch from a mailbox with no sender name. That mailbox sends nothing. Add a sender name before you launch.

Add your email signature

Your signature is only added to an email where you place the Signature merge field. A merge field is a label that JournoFinder fills in when each email sends.

  1. On the mailbox settings page, write your signature under Email signature. You can use bold, italic and links. Pasted images are removed.

  2. Click Save changes.

  3. In your campaign email, type @ where the signature should go and choose Signature.

If the mailbox has no signature, the line with the Signature merge field is removed from the email.

The signature is fixed when you launch a campaign. If you edit it later, emails in that campaign keep the old signature.

If a campaign sends from several mailboxes, every email uses the signature of the first mailbox you chose. Use the same signature on all of them.

Set how many emails send each day

Campaign daily limit is the most campaign emails this mailbox sends in one day, across all your campaigns. It starts at 30.

  1. On the mailbox settings page, enter a number from 1 to 250 in Campaign daily limit.

  2. Click Save changes.

The daily count resets at midnight UTC. On the Email Accounts tab, each mailbox shows how many it has sent today, for example “12/30 sent today”.

Set the wait between emails

Sending delay is how long the mailbox waits between campaign emails. It starts at 60 to 90 seconds. Each wait is picked at random in that range.

  1. On the mailbox settings page, under Sending delay, enter the shortest and longest wait in seconds.

  2. Click Save changes.

When your changes take effect

A new sender name, daily limit or sending delay applies to every email that has not sent yet. This includes campaigns that are already running.

A new signature only applies to campaigns you launch after the change.

Limits

  • Daily limit: 1 to 250 emails. Personal Outlook, Hotmail, Live and MSN addresses send at most 150 a day, whatever you set.

  • Sending delay: at least 30 seconds, at most 3600 seconds. The longest wait must be at least 30 seconds more than the shortest, for example 60 to 90.

  • Teammates can open a mailbox you share with them, but they cannot change its settings. They see a message such as “This mailbox is shared with your team. You can see its settings, but only Jane Smith can change them.” The name is the mailbox owner's.
