Import contacts from a CSV file

Upload a CSV file of your own contacts, match its columns and import up to 1,000 people at a time.

Import your own contacts into JournoFinder by uploading a CSV file of up to 1,000 rows. Available on: all paid plans. Not included in the 7-day free trial.

A contact is a person you added yourself, by hand or from a CSV file. A CSV file is a spreadsheet saved as plain text with commas between columns. Most address books, email tools and CRMs can export one.

Before you start

Have these ready:

  • A CSV file with one contact per row. Excel files (.xlsx) do not work. In Excel or Google Sheets, save or download the sheet as CSV first.

  • A name for every contact. A row with an email address but no name is skipped with “a name is required”.

Upload your file

  1. In the sidebar, under Outreach, click Campaigns.

  2. Go to the Contacts tab.

  3. Click Import CSV.

  4. Drag your file onto the page, or click Choose a file and pick it.

JournoFinder reads the file and opens the Match columns step. Files with no header row also work.

Match your columns to contact fields

The Match columns step lists each column in your file with 2 sample values. The Imports as list shows which contact field the column goes into.

  1. Check the badge on each row:

    • “Matched”: JournoFinder recognised the column header.

    • “Best guess” or “AI suggested”: check that the field is right.

    • “Pick a field”: nothing was chosen.

  2. To change a field, choose a new one in Imports as. Choose Skip to leave a column out.

  3. Optional: to keep a column that has no matching field, choose Custom field and enter a Field name.

  4. Click Review import.

Columns still on “Pick a field” are skipped. Review import stays greyed out until at least one column is set to First name, Last name, Full name or Email. Until then the page shows “Map at least a name or an email column.”

What the AI sees when it matches columns

JournoFinder first matches headers it knows, such as exports from Google Contacts, Outlook, LinkedIn and Mailchimp. For any column it cannot match, or is unsure about, an AI model suggests a field. The AI sees only that column's header and up to 20 values from the first 20 rows. Each value is cut to 120 characters. The rest of your file is not sent.

If the AI is not available, the page says “Automatic matching was unavailable for some columns. Pick their fields manually.” You can still finish the import.

Review and import

The Review step checks every row before anything is created. The headline shows how many contacts will be created, for example “42 contacts will be created”.

Cards list the rows that need your attention, by row number. Each card starts with a count, for example “3 duplicate rows skipped”. The cards are:

  • “duplicate rows skipped”: an email address in the row is already in your contacts, or the row repeats an earlier row in the file.

  • “invalid rows skipped”: the row has no name, a broken email address, or a broken website or social profile link. One bad value skips the whole row.

  • “suppressed contacts flagged”: the address is on your blocklist (the addresses your campaigns will never email). The contact is imported, but campaigns will not email it.

  • “disposable domains flagged”: the address is from a temporary email provider. The contact is imported and flagged.

A row with no name, no email address and no phone number is left out. It does not appear on any card.

To import:

  1. Optional: click Back to mapping to change a column and review again.

  2. Click Import 42 contacts. The number is your own count.

The Done step shows “42 contacts imported”. Click View imported contacts to see only the people from this file. Their Source column shows “CSV import”.

How duplicates are handled

JournoFinder checks email addresses only. It does not check names.

  • A row is skipped if any of its email addresses belongs to a contact you or your team already have.

  • A row is skipped if all its email addresses appeared on an earlier row of the same file.

  • A row with no email address is never treated as a duplicate.

  • Existing contacts are never changed or merged. To update a contact, edit it by hand. See Add, edit or delete a contact.

Limits

  • 1,000 rows per file. For a bigger list, split it into several files and import them one at a time.

  • 120 columns per file.

  • Your plan's contact limit applies to the whole file. If the file would go over it, nothing is imported. The Review step shows a message like this:

“You can't import this many contacts. Your plan holds 1000 and 980 are already in use, which leaves room for 20. Remove at least 22 contacts from the file and upload it again.”

The numbers show your own counts. You can see your limits at Preferences > Limits. Lifetime accounts may have different limits. Contact support to check yours.
