Email Outreach FAQ

Answers to common questions about email campaigns: the trial, copying a campaign, images, send times, replies and Leads.

Email Outreach lets you send email campaigns and pitches to journalists from your own mailbox. To send your first one, see Send your first email campaign.

A campaign is an email and its follow-ups sent to a set of people. A follow-up is a later email in a campaign that sends if the person has not replied.

Is Email Outreach included in the free trial?

No. Email Outreach is available on all paid plans. It is not included in the 7-day free trial.

During the trial, the Outreach pages show “Outreach is included on paid plans. Upgrade now to start sending.” Click Upgrade Now to upgrade and start sending. If you are on a team, the team admin upgrades and you get Email Outreach automatically. For the limits on each plan, see Email Outreach plans and limits.

Can I copy or duplicate a campaign?

No. JournoFinder has no option to copy or duplicate a campaign. To send the same pitch again, create a new campaign and paste in your email:

  1. Open the old campaign and go to the Overview tab.

  2. In the Emails section, select the subject and email text and copy them.

  3. Create a new campaign and add your recipients.

  4. On the Compose step, paste the subject and email text.

Merge fields such as first name keep working when you paste them from the Overview tab.

Can I add images or attachments to a campaign email?

No. The email editor has no button for images or attachments. If you paste content that contains images, the images are removed. Tables you paste from Google Docs, Sheets or Word are kept.

To share a press release or photos, upload the file to a service such as Google Drive or Dropbox. Then click Insert link in the editor and add the link to your email. See Write your campaign email and send a test.

Can I email journalists directly from journalist search?

No. A campaign takes journalists from a media list. A media list is a saved list of journalists from the JournoFinder database.

  1. In journalist search, save the journalists you want to a media list.

  2. Open your campaign and go to the Recipients step.

  3. On the Media lists tab, find the list and click Add.

Can I choose the exact time my campaign sends?

No. You choose the start day and the sending window, but not an exact time. The sending window is the days and hours campaign emails are allowed to send.

  • Start now sends from today. Schedule for later lets you pick a start day, from tomorrow onwards.

  • Send between sets the hours, in whole hours. Business hours is Monday to Friday, 9:00 am to 5:00 pm.

  • The hours use each recipient's local time. To use one time zone for all recipients, click One time zone for everyone.

Emails in the campaign are spread across the window, with a gap between each one. To send close to a set time, make the window short, for example Send between 9:00 am and 10:00 am. See How JournoFinder decides when each email sends.

How many people can I add to one campaign?

One campaign holds up to 500 recipients. A recipient is a person in a campaign. If you add media lists or contacts with more than 500 people in total, the extra people are not added, and the app does not show a message. To email more people, split them across two or more campaigns.

Does a reply stop my other campaigns to the same person?

No. A reply stops the follow-ups to that person in that campaign only. If the same person is in another of your campaigns, that campaign keeps emailing them.

Why is a reply counted as a Lead when it is not one?

Leads counts the people whose reply our AI labelled “Positive”. The AI reads each reply and picks a label, such as “Positive”, “Referral”, “Not interested” or “Out of office”. The AI can get a label wrong.

You cannot change a label or the Leads count. Read the reply in the Unibox (your shared inbox in JournoFinder) before you act on it. The “Positive replies” email you get uses the same label, so it can also be wrong. See What happens when a journalist replies.
