Add or remove people after a campaign has launched

Add journalists or contacts to an email campaign that is already sending, paused or finished, or remove people from it.

Add journalists or contacts to an email campaign after launch, or remove people so they get no more emails. Available on: all paid plans. Not included in the 7-day free trial.

A recipient is a person in a campaign. You can add and remove recipients while the campaign shows “Sending”, “Paused” or “Finished”.

Add people to a launched campaign

  1. On the campaign's Overview tab, click Actions > Add recipients.

  2. Choose Media lists or Your contacts.

  3. Click Add next to a media list, tag or contact. A window asks you to confirm, for example “Add 12 people to this campaign?”

  4. Optional: click view why to see who is skipped.

  5. Click Add 12. The number shows your own count.

New people start at the first email and get the same follow-ups as everyone else. When they start depends on the campaign's status:

  • “Sending”: at the next time the sending window allows. The sending window is the days and hours campaign emails are allowed to send. The confirm window tells you when, for example “First email goes out tomorrow after 9:00 am your time.”

  • “Paused”: when you click Resume.

  • “Finished”: the button says Restart and add 12. The campaign starts sending again, to the new people only.

People already in the campaign are skipped, so nobody gets the same email twice. People with no email address yet are skipped too. So are addresses on your blocklist, the list of addresses your campaigns will never email. Contacts marked do not contact are also skipped.

If a media list in the campaign has gained journalists, its row shows a line such as “4 not in campaign”. Click Add all to add them.

Remove people from a launched campaign

  1. Go to the campaign's Recipients tab and click Review recipients.

  2. Click the bin icon at the end of a person's row. To remove several people, tick their rows and click Remove these 3.

  3. Check the window, for example “This cancels 2 unsent emails.” Then click Remove.

  4. Optional: click Undo within 15 seconds.

Removing cancels only emails that have not sent yet. Emails already sent cannot be taken back.

Put someone back in a launched campaign

  1. In the recipients table, click the Removed filter.

  2. Click the arrow icon at the end of the person's row. Its label is Put back.

  3. Click Put back. On a finished campaign the button says Put back and restart.

Their cancelled emails are queued again. Emails they already got are not sent again.

You can also put someone back by adding them again with Add recipients. They do not get any email twice.

Send to people who got an email address after launch

A journalist with no email address is skipped at launch. If we find an address later:

  • Less than 48 hours after the campaign's last email: we send them the campaign automatically.

  • After that: the Overview tab shows a banner such as “2 people got an email address since this campaign ran”.

On the banner, click Send to all 2 to send them the same emails, or Dismiss to leave them out. To send to one person, click Send on their row, which shows “Address found”.

Limits

  • A campaign holds up to 500 recipients. If an add goes over 500, the extra people are not added.

  • Adding people needs emails left in your monthly allowance. If none are left, you see a message such as “Your monthly email quota is exhausted (1000/1000 sent this month). Please contact support if you need higher limits.” The numbers show your own count. See Email Outreach plans and limits.

  • You cannot add people to a “Stopped” campaign. Create a new campaign instead.

  • A campaign in “Error” cannot take new people: “This campaign hit an error and can’t take new people yet.”

  • A “Scheduled” campaign has no Recipients tab. Cancel the schedule first. The campaign goes back to “Draft”, and you add people as usual. See Pause, stop or delete a campaign.
