This article lists every status and number you see on an email campaign, and what each one means. Available on: all paid plans. Not included in the 7-day free trial.
A campaign is an email and its follow-ups sent to a set of people. A follow-up is a later email in a campaign that sends if the person has not replied. A recipient is a person in a campaign. You see campaign results in two places: the Campaigns tab and each campaign's Overview tab.
Statuses on the Campaigns list
In the sidebar, under Outreach, click Campaigns. The Status column shows one of these statuses for each campaign.
Status | What it means |
“Draft” | You have not launched the campaign yet. Click it to carry on from the Recipients step. |
“Scheduled” | The campaign starts on a date you picked. The date shows next to the status. |
“Sending” | The campaign is sending emails. |
“Paused” | You paused the campaign. Nothing sends until you click Resume. |
“Quota Reached” | We paused the campaign because you used all your emails for the month. See Email Outreach plans and limits. |
“High Bounces” | We paused the campaign because too many emails bounced. See Campaign paused: "too many emails bounced". |
“Sent” | The campaign has finished. The number next to it is how many emails went out, follow-ups included. For example, “Sent 57”. |
“Cancelled” | Someone stopped the campaign before it finished. Emails that had not gone out were cancelled. |
“Error” | The campaign cannot send. Hover over the status to read why. |

Columns on the Campaigns list
The Campaigns list has these columns after the campaign name and status.
Column | What it counts |
Progress | Emails sent out of all emails planned, as a percentage. Emails planned is recipients times the number of emails in the campaign. A finished or stopped campaign shows 100%. |
Sent | Emails sent, follow-ups included. |
Replied | Replies to the campaign. |
Bounced | Emails that came back because they could not be delivered. |
Leads | Replies our AI marked “Positive”. |
Created | The date you created the campaign. |
A draft shows a dash in every number column.
To add Opened and Clicked columns, click the column icon at the right end of the header row. Then tick Opened, Clicked or both. Your choice is saved in this browser. A campaign launched without open or click tracking shows a dash in these columns.
Status on a campaign's Overview tab
Click a launched campaign to open its Overview tab. The status next to the campaign name uses slightly different words from the list.

A paused campaign shows “Paused. Nothing sends until you resume.” at the top of every tab, with a Resume button. To pause, stop or delete a campaign, see Pause, stop or delete a campaign.
Headlines on the Overview tab
The first card on the Overview tab starts with a headline. It says what the campaign is doing now.
Headline | What it means |
“Sending, 42 emails still to go” | The campaign is sending. The number counts emails, follow-ups included, and shows your own count. |
“Starts Monday 5 October” | The campaign is scheduled. The date shows your own start date. |
“Paused” | You paused the campaign. |
“Paused, you have hit your monthly email limit” | You used all your emails for the month. |
“Paused automatically, too many emails bounced” | Too many emails bounced. |
“Stopped before finishing” | Someone stopped the campaign. |
“Finished” | Every email that could send has gone out. |
A campaign with “Error” shows the reason as its headline. The banner at the top says “Sending stopped. This campaign's mailbox can't send. Pick a working mailbox in Settings, then resume.” A mailbox is an email account you connect to JournoFinder. To fix it, see Mailbox shows "Reconnect" or "Not sending or receiving".
Under the headline, a line such as “18 of 40 emails sent” shows emails sent out of emails planned. It adds “3 recipients skipped” when some people were not sent to. It adds “edited 2 Oct” when someone changed the campaign after launch. The bar under the headline shows the same progress. A scheduled campaign has no bar.
Counters on the Overview tab
Five counters sit under the first card.
Counter | What it counts |
Emailed | People who got the first email. |
Replied | People who replied. |
Leads | People whose reply our AI marked “Positive”. |
Opens | Times an email was opened. One person can open an email several times. |
Clicks | Times a link in an email was clicked. One person can click several times. |
Emailed, Replied and Leads count people. Opens and Clicks count events. Do not divide one by the other to get a rate.
Leads and the reply labels come from AI. They can be wrong. Read the reply before you act on it.
Why Opens and Clicks show "Off"
Opens shows “Off” when open tracking is turned off for the campaign and no opens were recorded. Clicks works the same way for link clicks. Tracking is off by default. A zero would suggest nobody opened your email. “Off” means we did not measure it.
To turn on tracking, tick Track opens (not recommended) or Track link clicks (not recommended) in Tracking on the Launch step. On a launched campaign, pause it and use the Settings tab. See Edit a campaign after it has launched.
Note: Open counts are always too high. Many mail apps and security scanners open the tracking image without a person reading the email. Replies are a more reliable result.
Recipient filters on the Overview tab
The Recipients card on the Overview tab lists everyone in the campaign. The filters at the top group people by what happened to their first email. Each filter shows a count. A filter with nobody in it is hidden.

Replied | People who replied. This filter opens first when anyone has replied. |
Sent | People whose first email went out, including people who replied. |
Still to send | People whose first email has not gone out yet. |
Not sent | People who will not get the first email, and people marked “Address found”. The row says why. |
Problems | People whose email bounced, failed or was marked as spam. |
The newest activity shows first. The list shows 50 people at a time. Click Show more to see the next 50.
Click a row to open the email that went out, or the conversation if they replied. Click the name to open the person's profile.
Recipient statuses on the Overview tab
Each row shows a status on the right. The status is about the person's first email.
Status | What it means |
“Queued” | The first email is waiting to send. Emails send within the campaign's sending window, so no row shows an exact send time. |
“Sent” | The first email went out. |
“Replied” | The person replied. Their follow-ups in this campaign are cancelled. When our AI labels the reply, the row shows the reply label instead. See the section "Reply labels on the Overview tab". |
“Bounced” | The email came back because it could not be delivered. The line under the name gives the reason. |
“Failed” | The email could not be sent. For example, the mailbox was disconnected or the mail server refused the email. |
“Marked spam” | The person reported the email as spam. |
“Not sent” | The first email will not go out. The line under the name gives the reason. |
“Undeliverable” | We checked the address just before sending and it would bounce, so we did not send. The line under the name says “email verification failed”. See How JournoFinder checks addresses and handles bounces. |
“Address found” | The person had no email address at launch and has one now. Click Send on the row to email them. See Add or remove people after a campaign has launched. |
The grey line under the name says when something happened, for example “sent 2 days ago”. A bounce adds the reason in brackets, for example “bounced 2 hours ago (address does not exist)”. If a follow-up bounced, the row still says “Sent”, with a line such as “sent 3 days ago (follow-up 1 bounced: address does not exist)”.
When a follow-up is still to come, the row shows “Follow-up 1 pending”. The number is the follow-up's position in the campaign.
Why an email was not sent
A “Not sent” row shows one of these reasons under the name.
Reason on the row | What it means |
“address is on your suppression list” | The address is on your blocklist. The blocklist is the list of addresses your campaigns will never email. |
“same address appears twice in this campaign, so it was sent once” | Two recipients share one address. We sent it one email. |
“removed from the campaign” | Someone removed the person. |
“campaign was stopped” | Someone stopped the campaign. |
“campaign was deleted” | Someone deleted the campaign. |
“they replied” | The person replied before this email went out. |
“they reported spam” | The person reported an earlier email as spam. |
“an earlier email bounced” | An earlier email to this address bounced. |
“sending mailbox was removed” | The mailbox that was sending to this person was disconnected. |
Reply labels on the Overview tab
When someone replies, our AI reads the reply and adds a label to the row. The label shows on the right of the row, in place of “Replied”. Only “Positive” replies count toward Leads.

“Positive” | The journalist is interested. |
“Referral” | The journalist points you to someone else. |
“Not interested” | The journalist says no. |
“Out of office” | An automatic out-of-office reply. |
“Bounced” | A delivery failure notice sent back as a reply. |
“Unsure” | The AI could not tell. |
When a reply is marked “Positive”, we email you with the reply and a link to answer it in the Unibox (your shared inbox in JournoFinder). This email is on by default. To turn it off, go to Outreach > Settings > Notifications and turn off Positive replies. To learn what else happens after a reply, see What happens when a journalist replies.
