Launch or schedule a campaign

Choose your mailboxes, start date and sending hours, then launch your email campaign now or schedule it for a later day.

Choose who sends your email campaign, when it starts and its sending hours, then launch it or schedule it. Available on: all paid plans. Not included in the 7-day free trial.

A campaign is an email and its follow-ups sent to a set of people. A mailbox is an email account you connect to JournoFinder. All the settings in this article are on the Launch step of the campaign.

Before you start

Launch campaign stays greyed out until you have all of these:

Choose the mailboxes that send

  1. Open your draft campaign and go to the Launch step.

  2. Under Send from, tick each mailbox you want to send from. Your own first mailbox is ticked for you.

If you tick more than one mailbox, sending rotates across them. Each mailbox keeps its own daily limit. A teammate's mailbox shows a “Shared” badge.

Start now or schedule for later

  • Under Start, click Start now to send as soon as you launch.

  • Or click Schedule for later and choose a day in the calendar. The earliest day you can pick is tomorrow.

You pick a day, not a time. The first email goes out at the first open hour of your sending window on or after that day.

Set the sending window

The sending window is the days and hours campaign emails are allowed to send. It applies to follow-ups too.

  1. Under Sending window, click Business hours (Monday to Friday, 9:00 am to 5:00 pm) or Any time.

  2. Optional: click the day buttons, Mon to Sun, to turn days on or off.

  3. Optional: next to Send between, choose a start hour and an end hour.

  4. Choose Each recipient's local time or One time zone for everyone. If you choose one time zone, choose it next to Send in. This choice does not show when you pick Any time.

If some journalists have no known time zone, you see a line such as “3 of 20 have no time zone - treat them as”. It uses your own time zone unless you choose another.

Choose tracking and send order

  • Tracking: Track opens and Track link clicks are off by default. Turning one on shows a warning. Click Turn on anyway to keep it on. With tracking off, the campaign's Overview shows “Off” for Opens and Clicks.

  • Send order: Send follow-ups before new emails is ticked by default. When a mailbox has a follow-up and a first email due at the same time, the follow-up goes first. A follow-up is a later email in a campaign that sends if the person has not replied.

Save your settings without launching

  • Click Save settings. “Settings saved” shows next to the button.

Your choices stay on the draft when you come back. If you leave the step with unsaved changes, you see “Unsaved launch settings”. Click Save and leave or Discard.

Launch or schedule the campaign

Warning: Launching sends real emails to every recipient counted on the Ready to send card. You cannot unsend an email after it is sent.

  1. Check the Ready to send card. It shows how many recipients will be emailed.

  2. Click Launch campaign. If you picked a start day, the button says Schedule campaign.

After a launch you see “Campaign launched” with a line such as “Sending to 20 recipients.” The number shows your own count. After you schedule, you see “Campaign scheduled” with the start day. On the Campaigns tab, the campaign shows “Sending” or “Scheduled” with its date.
