When a journalist replies to your email campaign, we stop that campaign's follow-ups to them. A follow-up is a later email in a campaign that sends only if the person has not replied. The reply arrives in your own mailbox and in the Unibox (your shared inbox in JournoFinder).
Which emails stop when someone replies?
A reply stops the follow-ups still waiting to go to that person in that campaign. Other people in the campaign keep getting their emails.
A reply cancels follow-ups only in the campaign the journalist replied to.
On the campaign's Overview tab, the person's row shows “Replied”.
Only the first reply from a person changes the campaign. Later replies in the same thread still arrive in the Unibox.
If you send from a Gmail mailbox, we also add a Gmail label to the thread. The label is “JournoFinder/” followed by the campaign name.
What do the labels on a reply mean?
We use AI to read each reply and give it a label. The label shows on the person's row on the Overview tab. This table lists the labels you can see:
Label | What it means |
“Positive” | The journalist is interested, asks a question or suggests a time. |
“Referral” | The journalist points you to a colleague or another desk. |
“Not interested” | The journalist turns down the pitch. |
“Out of office” | The reply is an automatic out-of-office message. |
“Bounced” | The reply is a delivery failure message, not a person. |
“Unsure” | The AI could not tell what the reply means. |
The Leads count at the top of the Overview tab is the number of people with a “Positive” label.
The AI can get a label wrong. Read the reply before you act on it.
What happens with out-of-office replies?
Most email apps mark out-of-office messages as automatic. An automatic reply does not count as a reply. The person's row stays “Sent” and their follow-ups keep going.
If the out-of-office message gives a clear return date, we move the next follow-up. It sends on their second day back at work, when your sending window opens in their time zone. The sending window is the days and hours campaign emails are allowed to send.
We leave the follow-ups at their usual times when:
the message gives no return date
the return date is more than 90 days away
the AI is not sure of the date
We never move a follow-up to an earlier time.
A few out-of-office messages are not marked as automatic. Those count as a reply. The row shows “Replied” with the label “Out of office”, and the follow-ups stop.
Example
Your first email sends on Monday 5 October.
Follow-up 1 is set to send 3 days later, on Thursday 8 October.
On Tuesday 6 October, the journalist's out-of-office reply says they are back on Monday 12 October.
We move follow-up 1 to Tuesday 13 October, their second day back. It sends when your sending window opens that day.
Who gets an email about a positive reply?
When a reply gets the “Positive” label, we send you an email with the subject “Positive reply from” and the journalist's name. The email shows the reply and a Reply in Unibox button.
The email goes to the address on your JournoFinder account. On a team, it goes to the person who launched the campaign. This is true even when the reply arrives in a teammate's shared mailbox.
These emails are on by default. To turn them off:
In the sidebar, under Outreach, click Campaigns.
Go to the Settings tab.
Next to Notifications, click Manage.
Turn off Positive replies.
Each person on a team sets this switch for themselves.
