Write your campaign email and send a test

Write your pitch, add each journalist's first name and your signature, then send a test email to yourself before you launch.

Write the first email of your email campaign, personalise it with merge fields, and send a test to your own inbox. Available on: all paid plans. Not included in the 7-day free trial.

A campaign is an email and its follow-ups sent to a set of people. You write the email on the Compose step, after you add recipients.

Before you start

Write the email

  1. On the Recipients step, click Continue. The Compose step opens.

  2. Enter your subject line in Subject.

  3. Write your pitch in the box under the subject.

  4. Optional: use the toolbar under the email for bold, italic, bullet lists, numbered lists and links.

Your email saves automatically. The toolbar shows “Saving”, then “Saved”.

Add the journalist's first name or your signature

Merge fields are labels that JournoFinder fills in for each recipient when the email sends. There are two: First Name and Signature.

  1. Put your cursor where the field should go.

  2. Type @, or click the tag icon in the toolbar.

  3. Choose First Name or Signature. The field shows as a blue label in your email.

To add the first name to the subject line, enter “{{first_name}}” in Subject.

If JournoFinder has no first name for a recipient, the field is left empty. For example, "Hi First Name," becomes “Hi ,” for that person.

Signature adds the signature saved on your mailbox. Nothing is added if you leave the field out. If the mailbox has no signature, the line with the field is removed. To set one, see Set your sender name, signature and sending speed.

Note: A campaign uses one signature for all its emails. If you send from several mailboxes, give them the same signature. Changes to a signature after launch do not change emails already waiting to send.

Paste text from Google Docs, Word or Gmail

JournoFinder cleans the formatting when you paste your pitch from another app.

  • Bold, italic, underline, links and lists are kept.

  • Headings become bold text.

  • Fonts, text sizes and colours are removed.

  • Images are removed.

  • Tables are kept.

Send a test email to yourself

Send a test before you launch. You see the email as a journalist will.

  1. On the Compose step, click Send test.

  2. Optional: in From, choose the mailbox to send the test from.

  3. Optional: in Send to, choose which of your own addresses gets the test. Tests can only go to your own addresses.

  4. Optional: in Personalise as, choose a recipient. The test uses that person's first name.

  5. Click Send test. The button changes to “Sent”.

The test arrives with “[TEST]” at the start of the subject. It uses the signature of the mailbox in From. Tests do not count toward your monthly email allowance.

If the test fails, you see “Test email failed” and the reason. If the reason is “Sending account is not connected”, see Mailbox shows "Reconnect" or "Not sending or receiving".

Limits

  • You cannot add images or attachments. To share images, add a link to them, for example a shared folder.

  • One email can be up to 250 KB. Over the limit, you see “Too long to save” and your changes do not save until you shorten the email.

  • Only the first email can be sent as a test. Follow-ups cannot.
