Edit the email for one journalist in a campaign, so they get a different version of your pitch from everyone else. Available on: all paid plans. Not included in the 7-day free trial.
A campaign is an email and its follow-ups sent to a set of people. Everyone in the campaign gets the same email, called the shared email. When you personalise the email for one person, only that person gets your edited version.
Before you start
You can personalise emails only before you launch the campaign. Write the shared email first. See Write your campaign email and send a test.
Personalise the email for one journalist
Open the campaign and go to the Compose step.
In the bar at the bottom of the page, click Personalise emails.
In the list on the left, click the journalist. To find them, enter their name, outlet or email address in Search people.
Edit the subject or the text on the right. If the shared email uses their first name, it is already filled in.
Your changes save 2 seconds after you stop typing. The editor shows “Saved”. The journalist now shows a “Personalised” tag.
Follow-ups show under the first email once they have text. Each one you edit is personalised on its own. The follow-up timing is the same for everyone in the campaign.
Note: If you add a subject to a follow-up, it sends as a new email. It does not send as a reply in the same thread.
To see everyone you have personalised, click the Personalised filter above the list. The bar at the bottom shows the count, for example “20 people (3 personalised)”.
When you are done, click Continue to go to the Launch step. Or click Back to your email to return to Compose.
Reset a journalist's email to the shared version
Warning: Reset deletes your changes. You cannot get them back.
On the Personalise emails screen, click the journalist.
Click Reset:
The Reset button next to their name resets all of their emails.
The Reset button next to “Saved” on one email resets only that email.
In the window that opens, click Reset.
The email goes back to the shared version. The “Personalised” tag is removed once none of their emails differ from the shared email.
You can also edit a personalised email until it matches the shared email again. The app then treats it as not personalised.
Limits
You cannot personalise emails after a campaign launches.
Later changes to the shared email do not reach the parts you personalised. After you change the shared email, check each personalised journalist again.
Only the parts you edited stay fixed. If you edited only the text, their subject still changes when you change the shared subject.
A test email always uses the shared email, not a personalised version.
