Add notes and see a contact's email history

Open a contact to see every email, reply and bounce with them, and add notes your team can read.

Open any contact to see every email your team has sent them, their replies and bounces, and notes. Available on: all paid plans. Not included in the 7-day free trial.

You can also add your own notes. A contact is a person you added yourself, by hand or from a CSV file.

Open a contact's history

  1. In the sidebar, under Outreach, click Campaigns.

  2. Go to the Contacts tab.

  3. Click a contact's row. A panel opens on the right.

  4. Scroll to Activity.

Activity lists events newest first. If nothing has happened yet, it shows “No activity yet”.

What each Activity row means

This table lists the rows you can see in Activity.

What happened

“You sent an email”

You sent them a campaign email. A teammate's send shows their name instead of “You”.

“Opened”

They opened the email.

“Clicked a link”

They clicked a link in the email.

“Replied”

They replied. Click the grey reply text to open the conversation in the Unibox (your shared inbox in JournoFinder).

“Out of office” or “Auto-reply”

An automatic reply came back. It can show when they are back, for example “back 31 Aug”.

“Bounced”

The email could not be delivered. The reason shows when we know it, for example “Bounced: address does not exist”.

“Marked as spam”

They reported the email as spam.

“Anna added to campaign” or “Anna removed from campaign”

Someone added them to a campaign or removed them. The row starts with their name, or “You”.

“Anna added a note”

Someone added a note. The row starts with their name, or “You”. The note text shows underneath.

The grey line under each row shows the address, and the campaign name where there is one. The reply icon is green for a positive reply and red for a negative one.

“Opened” and “Clicked a link” only show if Track opens or Track link clicks was turned on for that campaign.

Add a note to a contact

  1. Open the contact.

  2. Next to Activity, click + (Add note).

  3. Enter your note.

  4. Click Save note, or press Cmd + Enter (Ctrl + Enter on Windows).

The note shows at the top of Activity as “You added a note”.

Warning: You cannot edit or delete a note after you save it. Everyone on your team can read it.

Notes and history for journalists

Journalists from the JournoFinder database have the same history. On a journalist's profile page, the Activity card shows the latest 5 events. To see the rest, click the button under them, for example Show 12 more. The number is how many rows are hidden. Click + (Add note) on the card to add a note.

History is matched by email address. If a journalist and one of your contacts share an address, the same emails show on both.

Limits

  • A note can be up to 5,000 characters. Longer text is cut off.

  • Activity shows the latest 50 events. Older events do not show. This is the same for contacts and journalists.

  • Notes are shared with your team. You cannot make one private.
