Tag your contacts to group them, for example by client, then add a whole tag to an email campaign. Available on: all paid plans. Not included in the 7-day free trial.
A contact is a person you added yourself, by hand or from a CSV file. A tag is a label you put on contacts. Your contacts are on the Contacts tab. To get there, in the sidebar, under Outreach, click Campaigns, then go to the Contacts tab.
Tag one contact
On the Contacts tab, click the contact's row. Their details open on the right.
Click the pencil icon at the top of the panel. The edit page opens.
In the Tags & custom fields section, enter a tag and press Enter. Repeat for each tag.
Optional: to remove a tag, click the x next to it.
Click Save changes. A message shows “Contact saved”.
Tag many contacts at once
On the Contacts tab, tick the contacts you want to tag. The count under the page title changes to “3 selected”. The number shows your own count.
Click Edit tags.
To add an existing tag, click it in the list. To make a new tag, enter it in New tag… and click Add.
A message confirms it, for example “Tagged 3 contacts “Acme launch””. The list stays open for more tags.
In the Edit tags list, a tick means every selected contact has the tag. Click it to remove the tag from all of them. A dash means some have it. Click it to add the tag to the rest.
The checkbox at the top of the table only ticks the rows loaded on the page. The page loads 25 contacts at a time. To select more, click Load 25 more first. Untick the same checkbox to clear your selection.
Filter the Contacts list
Each column name in the table opens a panel where you can sort and filter. Contacted has no panel.
Click a column name, for example Tags.
Every value starts ticked. Click Clear to untick them all.
Tick the values you want to see. Each value shows how many contacts have it.
Click OK.
The table shows contacts with any of the ticked values.
To sort, click Sort A → Z or Sort Z → A in the same panel. Tags cannot be sorted.
To remove every filter, click Clear filters at the top of the page.
Search your contacts
On the Contacts tab, enter text in Search name, email, outlet…. The table updates as you type.
Search looks at names, outlets, job titles, bios, email addresses and whole tags. It works together with column filters.
Add a whole tag to a campaign
Open a draft campaign on the Recipients step.
Click Your contacts, then click Tags in the switch next to the search box.
Click Add next to the tag.
Contacts you tag later are not added by themselves. Add journalists and contacts to a campaign covers the full steps.
Limits
A contact can have up to 25 tags. A tag can be up to 60 characters long.
Edit tags changes up to 500 contacts at a time.
You cannot rename or delete a tag. To rename one, add the new tag to the same contacts, then remove the old one.
The Tags filter treats “Press” and “press” as two different tags. Edit tags treats them as the same tag.
