Who sees what when your team uses Email Outreach

See which campaigns, mailboxes, replies, contacts and blocklist entries your teammates can see in Email Outreach.

On a team, your email campaigns and your mailboxes are private to you. Available on: team plans. Your contacts, notes and blocklist are shared with everyone on your team.

Can my teammates see my campaigns?

No. A campaign is an email and its follow-ups sent to a set of people. Each campaign belongs to the person who created it. Only you see your campaigns on the Campaigns tab. Team admins do not see them either.

Your teammates do see some campaign history for the people you email. When you review the people in a campaign, the Contacted and Other campaigns columns include your teammates' campaigns.

Can my teammates see my mailbox and its email?

Not unless you share it. A mailbox is an email account you connect to JournoFinder. Every mailbox starts private. Only you see a private mailbox's email in the Unibox (your shared inbox in JournoFinder). Team admins do not see it either.

The owner of a mailbox can share it with the team. Go to Email Accounts and open the mailbox. Tick Shared with your team, then click Save changes. Every teammate can then:

  • see all of the mailbox's email in their Unibox

  • reply to email from the mailbox

  • send campaigns from the mailbox

Only the owner can change the mailbox's settings, reconnect it or turn sharing off. Teammates find it under “Team accounts” on the Email Accounts tab, and under “Team inboxes” in the Unibox.

Warning: Sharing a mailbox shares all of its email, including personal email. There is no option to share campaign email only.

You cannot make a mailbox private while a teammate's campaign is still sending from it. You see this message, with your own count:

“1 teammate campaign is still sending from this account. They need to finish or be cancelled before it can be made private.”

What happens when a teammate reads or archives email in a shared mailbox?

Read and unread is set for each person. A reply a teammate opens stays unread for you.

Archive and Delete apply to everyone. If a teammate archives or deletes a thread in a shared mailbox, it moves or disappears for the whole team.

Can my teammates see my contacts and notes?

Yes. A contact is a person you added yourself, by hand or from a CSV file. Every contact you add is shared with your team. Teammates can see, edit, tag and delete it. The Added by column shows who added each contact. You cannot make a contact private.

Notes are shared too. A teammate's note shows in the contact's activity as “Anna added a note”, with their own name.

Contacts you added before you joined the team stay visible only to you.

Who does the blocklist apply to?

The blocklist is the list of addresses your campaigns will never email. It is shared by the whole team. An address blocked by you or a teammate is skipped by every campaign on the team.

The Source column on the blocklist shows “You” or “Teammate”. If you remove an address, it is removed for the whole team.

Who gets the positive reply email?

We send a “Positive replies” email when a journalist replies positively to a campaign. It goes to the person who created the campaign. It does not go to the owner of the mailbox the reply arrived in.

Each person can turn this email off for their own campaigns. Go to Outreach > Settings. Under “Notifications”, click Manage. Turn off Positive replies.

Example

Anna shares her Gmail mailbox with the team. Ben creates a campaign and sends it from Anna's mailbox.

  1. The campaign shows on Ben's Campaigns tab. It does not show on Anna's.

  2. A journalist replies positively. The reply arrives in Anna's mailbox.

  3. Anna sees the reply in her Unibox. Ben sees it under “Team inboxes” in his Unibox.

  4. Ben gets the “Positive replies” email, because he created the campaign.

  5. Anna cannot make her mailbox private until Ben's campaign finishes or is cancelled.
